Terms and Conditions

Effective for all bookings made through Hiking Paradise Pvt Ltd

These terms and conditions form a binding legal agreement between you (the “Client”) and Hiking Paradise Pvt Ltd (“we,” “us,” or “our”). Please read these terms carefully before confirming your booking with us. By booking a trip, you acknowledge and agree to these conditions.

Booking Policy – Nepal Trips

  • To confirm your booking, a 30% non-refundable deposit of the total trip cost is required.
  • Bookings can be made directly through our website or via email by completing a booking form.
  • The remaining 70% balance must be paid upon your arrival in Nepal, preferably during the pre-trip meeting. Alternatively, you can pay via credit card or bank transfer before your arrival.
  • All prices are quoted in USD. If you are paying in another currency, the prevailing exchange rate of the Nepal Rastra Bank (Central Bank of Nepal) on the transaction date will be used.

Booking Policy – Bhutan and Tibet Trips

  • A 50% non-refundable deposit is required to secure your booking.
  • The remaining balance must be settled via bank transfer or credit card at least 20 days before the departure date.

Last-Minute Bookings

  • Nepal Trips: Last-minute bookings are accepted up to 10 days before departure, subject to availability. Full non-refundable payment is required at the time of booking.
  • Bhutan and Tibet Trips: Accepted up to 20 days before departure, depending on availability. Full non-refundable payment is required.

Payment Methods

We accept the following payment options:

  • Bank Transfer (details provided upon request)
  • Credit/Debit Card (Visa, Mastercard, American Express – 4% processing fee applies)
  • Cash (USD, EUR, GBP, AUD, CAD – bills must be clean, unmarked, and $50/$100 denominations only)

Cancellation & Refund Policy – Nepal Trips

  • Cancellations made 20 days or more before the trip: 30% deposit is retained, and any balance paid will be refunded.
  • Cancellations made within 20 days of the trip: No refund.
  • All cancellations must be sent via email with valid documentation. Refunds (if any) will be processed within 15 business days.

Cancellation & Refund Policy – Bhutan & Tibet

  • Cancellations made 30 days or more before the trip: 50% deposit is retained; remaining balance (if paid) will be refunded.
  • Cancellations made within 30 days: No refund.
  • Trip cancellations must be notified in writing by email.

Trip Rescheduling

  • Nepal Trips: You can reschedule your trip by notifying us at least 20 days before the departure date. A rescheduling fee of USD 200 per person applies.
  • Bhutan & Tibet Trips: Written notice required at least 30 days before departure. A rescheduling fee of USD 500 per person applies.
  • If you wish to transfer your booking to another person, you are responsible for finding a replacement.

Incomplete Trips

No refunds will be issued for unused services, meals, or accommodations if you leave the trip early due to personal reasons, illness, or unlawful conduct. If you are removed from the trip due to violation of laws or disruptive behavior, Hiking Paradise is not responsible for any costs or reimbursements.

Travel Insurance

Travel insurance is mandatory for all clients. It must cover:

  • Emergency evacuation
  • Helicopter rescue
  • Medical expenses
  • Trip cancellation/interruption
  • Baggage loss/damage
  • Natural disasters and weather-related delays

Proof of insurance is required before trip departure. Hiking Paradise Pvt Ltd is not liable for any expenses not covered by your insurance provider.

Domestic Flight Delays and Helicopter Alternative

Mountain flights, especially to/from Lukla, are often delayed or canceled due to weather. In such cases, clients may choose to charter a helicopter at an additional cost, typically around USD 550 per person (one way) if shared among five people. Helicopter costs are not included in your original trip price and must be paid directly. Documentation can be provided for insurance claims.

Unforeseen Circumstances

We are not liable for delays, itinerary changes, or cancellations caused by:

  • Natural disasters
  • Government restrictions
  • Political unrest
  • Pandemics
  • Health issues
  • Road closures
  • Flight cancellations or delays

Additional expenses arising from such events will be the responsibility of the client. We highly recommend purchasing comprehensive insurance to cover these possibilities.

Health and Fitness

You must be in good health and physical condition for high-altitude treks. Please consult your physician before departure. Inform us of any pre-existing medical conditions at the time of booking. Individual fitness levels can affect the duration and success of the trek.

Visas and Passports

  • Nepal: You can obtain a visa on arrival at Kathmandu Airport or through your local Nepali consulate. Your passport must be valid for at least 6 months beyond your return date.
  • Bhutan and Tibet: We arrange all necessary permits and visas. You'll need to send us a scanned copy of your passport, a passport-sized photo, and proof of insurance during booking.

Client Conduct

Hiking Paradise Pvt Ltd reserves the right to remove any participant from a trip for disruptive, unlawful, or unsafe behavior. No refund or compensation will be provided for unused services, and any resulting costs will be your responsibility. Our team’s decision in such matters is final.
